Closing Checklist

To ensure a smooth closing for each new resident, Realtors are encouraged to contact the HOA Management Company no less than two weeks prior to closing to ensure amble time for the creation of access control credentials. Failure to contact the HOA Management Company prior of closing will prevent homeowners having access to Portofino upon closing.
 
 
New Residents & Realtors should follow the steps below to ensure a smooth closing for their clients:
  1. Contact the HOA Management Company two weeks prior to closing, and let them know you have a client who will be closing on a home in the community. Be sure to provide the name and address of the home that will close.
  2. Be sure to read and share the Community Disclosure and New Resident Welcome Letter posted above. Contact information for utilities can be found in the Welcome Letter.
  3. Work with the Builder or the Developer to get mailbox keys. The HOA does not have access to mailbox keys.
 
FAILURE TO CONTACT THE HOA MANAGEMENT COMPANY & REGISTER BUYERS PRIOR TO CLOSING, WILL PREVENT HOMEOWNERS FROM HAVING ACCESS TO PORTOFINO AND ITS AMENITIES IMMEDIATELY UPON CLOSING RECORDATION.
 
If Realtors have ANY questions, please contact to the HOA Management Company AHEAD OF CLOSING to get resolution.

Reviewing the Governing Documents

Before closing on a home in Portofino, you and/or your Realtor should review the governing documents to ensure you understand all of the rules, regulations, and expectations of being a resident. Be sure to ask your Realtor to download these documents from HomeWiseDocs prior to closing to give you ample time to review them.
 
 
Remember, ignorance is not an excuse to work around the government documents! You are responsible for reading, understanding, and adhering to the rules of the community, and you may be subject to fines or other penalties for not following them.

Registering with the HOA

Upon closing, your closing attorney will submit all of the necessary paperwork to the HOA.  This process typically takes anywhere from two to four weeks to complete. Until the paperwork has reached the HOA Management Company, it may be difficult or impossible to register with the HOA Management Portal to setup autodraft dues, or controlled information only available to registered residents.

Access Control to the Neighborhood

Portofino is a controlled access community. As such, access to our community needs to be granted by a member of the HOA or its Board of Directors.  There are several methods for access including:
 
 
  1. Vehicle Window Sticker - This is the primary method for access. Up to two stickers are issued (at no cost) to permanent dues-paying homeowners of Portofino. For those homeowners who have more than two vehicles, additional vehicle window stickers can be purchased for $14 each. These should be issued to you by the HOA Management Company at closing, and extras can be purchased through the HOA Management Company.
  2. Access Cards - Credit-card sized, weatherproof passes that allow access to the front gate, clubhouses, and pools. Residents may request as many of these as they wish at no cost. While these are great for your pool bag, they are also great for frequent visitors like maids, dogwalkers, nannies, etc. These should be issued to you by the HOA Management Company at closing, and extras can be issued by the HOA Management Company.
  3. Mobile Application - a mobile application that allows permanent dues-paying homeowners only to use their phone as an access device. Only the primary dues-paying homeowner can be issued a mobile app, children and other non dues-paying dependents cannot be issued mobile access for legal and safety reasons. The HOA Management Company will provide directions on how to register for this mobile app once you move in.
 
 
Please note that all access control stickers, cards, and guest passes tie back to the dues-paying homeowner.  Those homeowners are responsible for the actions of residents and guests who use access control methods on their behalf.
 
 
PLEASE NOTE: If your realtor fails to contact the HOA Management Company and register you with the access control system PRIOR TO CLOSING, it will prevent you form having access to the front gate and any amenities (pools, clubhouses, etc.). Be sure your Realtor has seen the information on the Realtor Closing Information page AT LEAST TWO WEEKS PRIOR TO CLOSE.

Mailbox Keys

Mailbox keys should be provided by the builder/developer at closing.  The Board of Directors does not have access to mailbox keys.  Please contact your builder or your closing agent for information about mailbox keys.

HOA mandates that all residents use Anchor Disposal at the contracted rate. Residents using a trash provider other than Anchor Disposal will be subject to fines.
